Stock Count Tip for GP 2010 Inventory

I know everyone is preparing for the year-end, and if you carry inventory this probably means a physical inventory count.  Did you know that GP can help you out with that process?  Here’s how:

Let’s start by creating a Stock Count Schedule.  Each schedule lets you determine what items and/or sites will be included during a specific count cycle.  To get here, go to Inventory >> Transactions >> Stock Count Schedule.

  • Use the Mass Add function to select a large number of items to be included!

When you are ready for the count, click the Start Count button.  You can then choose what level of detail to include on the count worksheets.  A worksheet will be printed to track what has been counted.

  • For items tracked by serial or lot number, lines will be included to count by individual serial or lot.  If you choose to print lot or serial number these will be included, if not blank spaces will be available for the worker to write in the number.
  • Including on-hand qty’s is also optional 

Once the count is complete, open the Stock Count Entry (Inventory >> Transactions >> Stock Count Entry) window and enter the counts noted.  If there is a variance between the on-hand qty and the qty counted, it will be displayed as a variance (+/-).  The variance can then be automatically posted, or simply saved for a recount.

  • If the item with a variance has a serial or lot number assigned, the S/L indicator will appear letting you know that you need to identify which serial/lot has the variance, and the Serial/Lot button becomes available.
  • Click the show details icon to display the on-hand qty and site info.

After entering the physical quantities and verifying the counts, you can Process the stock count, post the variances, and print posting journals.

BTW, this functionality also works great for the smaller cycle counts, and when used in conjunction with Item ABC Analysis, can take all of the guess-work out of choosing what items should be included in each cycle count!
